Position Summary

The Epic Application Manager – Ancillary Services provides day-to-day management of application teams that support designated Epic applications, modules, and third-party applications. Responsible for the overall integrity of application build and infrastructure, the success of new Epic and integrated third-party application introductions and is a key participant in Kootenai Health’s operational governance. Oversees application lifecycle management, including selection, development and/or maintenance support, integration, and upgrades. Responsible for leading, mentoring and maintaining the technical competency of staff. Day-to-day responsibilities include the development, leadership, and support of individual application road maps, implementation and optimization activities, and production support of designated applications for lab, cardiology, radiology/imaging, and pharmacy. Manages a departmental budget and expenditures within that budget. 

 

Responsibilities

•    Provides leadership and day-to-day management of an application team that is responsible for designated Epic modules and third-party applications that support clinical and business operations

•    Directly supervises staff; provides direction, feedback and coaching, as well as formal feedback during routine one-on-one meetings and the annual performance management cycle

•    Responsible for staffing the assigned application team; works with the Human Resources Department and other operational and IT leadership to recruit, interview and onboard staff that are a cultural fit and meet designated job duties

•    Builds annual goals for staff members, monitors performance against those goals, including action plans from the annual survey

•    Responsible for one or more departmental budgets, including labor and non-labor components; builds the annual budget and monitors forecast against actual on a monthly basis

•    Along with the Contract Management and Procurement teams, manages the performance of a designated group of vendors, including monitoring identified service levels and achievement of contract deliverables

•    Maintains relationships with key business partners and other senior leaders, as well as key contacts in the health care IT industry in order to leverage best practices, and to evaluate and manage emerging technologies

•    Responsible for working with key stakeholders including executives, senior leaders, and a variety of customers to identify, oversee, and deliver technical solutions that are effective and user-friendly, and support strategic initiatives, business and clinical outcomes

•    Responsible for coordinating and facilitating teamwork with multidisciplinary groups, building and reaching consensus; agreeing upon a course of action where there are multiple perspectives

•    Performs in-depth analysis of current and future workflows, data collection, report details and other technical issues associated with the Epic EHR and designated third-party applications

•    Collects requirements regarding potential system enhancements or new system implementation and prepares details of specifications needed; prioritizes and implements requested changes to the system

•    Manages customer expectations regarding the success of IT strategies and projects; ensures measurable outcomes are defined and reported for each strategy or project

•    Investigates standardization and process improvement opportunities while making build decisions

•    Monitors and manages work assignments for an identified group of analysts; organizes and prioritizes tasks, tickets and deliverables

•    Participates in integrated area domain and affinity groups in support of operational governance; leads or facilitates group discussions including agenda preparation, issue identification and risk mitigation

•    Troubleshoots, identifies root cause, and documents problems of high complexity for assigned applications and systems

•    Leads Incident Management and Problem Management efforts

•    Ensures assigned systems meet established policies and procedures; maintain data integrity and security for assigned applications and systems

•    Leads communication efforts related to education efforts for deployments, upgrades, optimizations and other system changes

•    Responsible for analyzing workflows and understanding policies, procedures and constraints in core clinical or business area(s) of responsibility

•    Partners with quality, operational, and business leaders on system design and optimization to meet quality, safety, financial and efficiency needs

•    Participate in after hours on-call and on-call rotation as required

•    Relies on experience and judgment to plan and accomplish goals

•    Performs other related duties as assigned 

•    Familiar with standard concepts, practices, and procedures within the field 

•    Regular and predictable attendance is an essential job function

•    Competent to meet age specific needs of the unit assigned

 

Requirements and Minimum Qualifications

•    Bachelor's Degree in Computer Science, Business Management, Information Services or Healthcare Administration, or an equivalent combination of education, skills and relevant experience is required

•    Master’s Degree in Information Services, Business Administration, Healthcare Administration, Public Administration, or a related IT or healthcare field is preferred 

•    Minimum 5 years’ Information Services leadership experience, and 7 years total relevant experience, or an equivalent combination of relevant experience 

•    Experience with assigned applications and domains preferred

•    Practical experience with electronic health information systems including configuration, implementation, support and optimization in an ambulatory or hospital setting

•    Solid practical experience to design and implement systems within the framework of technical boundaries

•    Established track record in management, particularly involving successful, collaborative work with physicians and clinic leadership

•    Epic certification(s) or proficiency in domain preferred
